How to Reply to Google Reviews From Your Email (or Phone)
Google's email tells you a review arrived, but the reply still happens signed in to your Business Profile. Every route from your inbox or phone, what each one needs, and the one that publishes from the email itself.

You can’t reply to a Google review by answering Google’s notification email. That email only tells you a review arrived. The reply is written in your Business Profile, in Google Search or the Google Maps app, while you’re signed in to a Google account that is an owner or manager of the verified profile — on a phone too. The only way to go from an email straight to a published reply without signing in to Google is a review tool that publishes through Google’s API. In ReputeMap, a 1–3★ alert email quotes a reply already drafted by AI, and Review & publish reply → opens a page with no login: the review, the draft you can edit and one Publish to Google button. Nothing is posted until you tap it.
Key takeaways
- Google’s notification email is a notice, not a reply box. It points you to your Business Profile; the reply is posted there, signed in.
- On a phone, Google’s own route works: the Google Maps app, or Google Search in the phone’s browser, signed in to the account that manages the profile.
- Automations can reply, but they post on their own. A Zapier-style flow can catch new reviews and post a reply through Google Business Profile’s “Create Reply” step, with no human check unless you build one.
- Publishing from the email itself takes a review tool. ReputeMap’s link in the alert email is personal, single-use and valid for 7 days, and the page it opens needs no login.
Can you reply to a Google review from an email?
Not from Google’s own email. With “Customer activity” notifications switched on, Google emails owners and managers of the Business Profile when a review arrives (how to switch them on, and where they fall short). That email has no reply box, and answering it doesn’t post anything. To reply, you open the profile and select Reply under the review, signed in to a Google account that is an owner or manager. Google also requires the business to be verified before anyone can reply.
Two things follow from that:
- Whoever replies needs access to the profile. A teammate you forward the email to can read the review but can’t answer it until an owner adds them as a manager (Business Profile → More → Business Profile settings → People and access).
- The wrong Google account is the usual blocker. Most “the Reply button is gone” moments are a phone or browser signed in to a different account. The fixes, in order, are in why you can’t reply to Google reviews.
Whichever route you use, Google checks owner replies against its content policies before they show. Google says that usually takes up to 10 minutes, and sometimes up to 30 days.
Every way to reply from your inbox or phone
| Route | Google sign-in to reply | Reply drafted for you | Worth knowing |
|---|---|---|---|
| Google Search, in any browser | Yes, an owner or manager account | No | Search your business name, then Read reviews → Reply |
| Google Maps app, on your phone | Yes, the same account in the app | No | Open your Business Profile in the app → Reviews → Reply |
| Google’s notification email | Yes: the email points to your profile, and the reply happens there | No | Owners and managers only, each switching it on in their own account |
| Gemini web app (Google), at gemini.google.com | Yes, a personal Google account | Yes, it drafts replies | One verified profile only; not in the EEA or the UK |
| Automation flow (Zapier and similar), from a message it sends you | No: the flow holds the Google connection | Only if you add an AI step | The reply step posts by itself unless you build an approval step |
| ReputeMap alert email or Monday digest | No: a personal, single-use, 7-day link | Yes, an AI draft you can edit | One Publish to Google button; nothing posts before you tap it |
| ReputeMap in a Telegram private chat | No | Yes, in the 1–3★ alert | ✅ Publish draft posts that text; ✏️ Edit & publish lets you change it first |
| ReputeMap Auto-reply to new reviews (paid plans) | No: nobody signs in, it posts for you | Yes, the same AI draft, in the reviewer’s language | Off until you switch it on; new 4–5★ reviews by default, so 1–3★ reviews stay on the alert |
A Telegram group gets ReputeMap’s alert without publish buttons, and WhatsApp carries the alert only; from either, reply through the email link or the inbox.

The desktop steps, plus 15 copy-paste templates for positive, negative and fake reviews, are in how to respond to Google reviews.
How to reply from the alert email with ReputeMap
- The alert arrives with the reply drafted. When a 1–3★ review lands, the subject reads like “New 2★ review — Downtown — reply drafted”, and the email quotes the review and the reply the AI drafted.
- Tap Review & publish reply →. The link is personal, single-use and valid for 7 days. It opens a page with no login: the review, the drafted reply and one Publish to Google button.
- Change it if you want. Edit the text yourself, or use the tone chips to redraft it.
- Tap Publish to Google. Nothing is posted before that.
Here is how a sample alert reads in the inbox (made-up business and review):
New 2★ review — Downtown — reply drafted
★★☆☆☆ Dana K.: “Waited 40 minutes and nobody said a word.”
Reply drafted by AI: “Hi Dana, you’re right: 40 minutes without a word from us isn’t okay, and I’m sorry. Next time, ask for me at the front desk and I’ll make sure it doesn’t happen again.”
Review & publish reply →
The Monday digest carries the same Review & publish reply → link. In Telegram, a private chat gets the drafted reply with two buttons: ✅ Publish draft posts exactly that text in one tap, and ✏️ Edit & publish lets you change it first. A Telegram group gets the alert without publish buttons. On the 14-day free trial, the reply is drafted inside the first 2 alerts; on paid plans, inside every alert. Every reply is drafted in the language the review was written in, as explained in replying to Google reviews in other languages.
Setting up the alerts takes a few minutes: Negative-review alerts: email, Telegram and WhatsApp.
Which route fits you?
| You are | The route that fits |
|---|---|
| One owner, one location, a review or two a month | Google’s notification email plus the Google Maps app |
| A manager without access to the Google profile | Ask an owner to add you as a manager, then use the Maps app |
| A team covering several locations | Alerts to everyone who needs them, with the reply drafted in the alert |
| Anyone tempted to let replies post with no human check | ReputeMap’s Auto-reply does that for new 4–5★ reviews (paid plans, off until you switch it on), and so does an automation’s reply step; for 1–3★ reviews, keep a person on Publish |
If you run one location and see a review or two a month, you don’t need a tool for this: switch on Customer activity, keep the Maps app signed in to the right account, and reply within a day. A tool starts to pay off when reviews land across several locations and the people who should answer them aren’t the people with the Google login.

Frequently asked questions
Can I reply to a Google review by replying to Google's email?
No. Google's new-review email is a notice: it has no reply box, and answering it posts nothing. To reply, open your Business Profile in Google Search or the Google Maps app, signed in to a Google account that is an owner or manager of the verified profile, and select Reply under the review. Review tools that publish through Google's API are the exception: in ReputeMap, the 1–3★ alert email carries a link that publishes an AI-drafted reply without a login, once a person taps Publish to Google.
How do I reply to Google reviews on my phone?
Open the Google Maps app signed in to the Google account that manages your Business Profile, open the profile, go to Reviews and tap Reply under the review. In a phone browser, sign in to Google, search your business name, then select Read reviews and Reply. Either way you need owner or manager access to a verified profile.
Can a teammate reply to Google reviews without my Google password?
Yes. Add them as a manager of the Business Profile (More, then Business Profile settings, then People and access) and they reply from their own Google account; Google lets owners and managers both reply to reviews. Never share the password of the account that owns the profile.
Is a no-login link to publish a reply safe?
ReputeMap's Review & publish reply link is personal, single-use and valid for 7 days, and it opens one page: the review, an AI-drafted reply you can edit and one Publish to Google button. Nothing is posted until a person taps Publish. ReputeMap publishes through the Google connection you make once with Google's own sign-in, so it never sees your Google password. Treat the alert email like any account email and don't forward it.
Does ReputeMap post replies to Google automatically?
Only if you switch it on. On paid plans, Auto-reply to new reviews posts the AI draft by itself to reviews written after you switch it on, 4–5★ ones by default, in the reviewer's language; it is off until an owner or admin turns it on. Every other reply waits for a person: nothing is posted to Google until someone taps Publish, whether on the no-login page from the alert email or the Monday digest, in a Telegram private chat, or in the inbox. On the 14-day free trial, the reply is drafted inside the first 2 alerts; on paid plans, inside every alert.
