How do Google review notifications on WhatsApp work if you build them yourself?
The top search results for this are tutorials from automation platforms, and they all follow the same shape: a trigger that fires on a new Google Business Profile review, and an action that sends a WhatsApp message. There are two common recipes.
Recipe 1: Zapier’s own “WhatsApp Notifications” step. This is the shortest route: a Zap with the Google Business Profile “New Review” trigger and one WhatsApp Notifications action. That action has been a premium app since 1 October 2025, and Zapier says premium apps need a paid plan. Zapier’s own note puts the change down to Meta’s pricing. What you get is one message step. The “bad reviews only” filter, the extra recipients and the off switch are yours to build.
Recipe 2: an automation tool plus your own WhatsApp API account. Pabbly’s tutorial is the typical example. Before you start it asks for three things from Meta’s WhatsApp Cloud API: an API token, a phone number ID and a WhatsApp Business Account ID. Getting those means creating a Meta developer app and registering a phone number to it. Other versions of this recipe swap Meta’s API for a third-party WhatsApp provider with its own account. On this route the message rules are yours to follow too: a review alert is a message the business starts, and Meta’s template documentation says template messages are the only type that can be sent outside a customer service window, and that templates are reviewed when you create or edit them.
Either way, someone keeps it running. The automation, the Google connection and, on recipe 2, the token and the template are separate things that can each stop working, and any failure email goes to whoever built it, not to the managers waiting for alerts.

How do you connect WhatsApp in ReputeMap?
These are the steps once WhatsApp is open in your workspace (see the availability note at the top of this page). Until then, the WhatsApp card on the Alerts page says “Coming soon” and email and Telegram carry your alerts.
You need to be an owner or admin of the workspace. Open Alerts and find the WhatsApp card.
On your phone
- Press Connect WhatsApp.
- WhatsApp opens with a message to ReputeMap’s number already written: “Connect ReputeMap alerts” followed by a one-time code.
- Tap Send. Don’t edit the code.
- Go back to the Alerts page. It updates by itself and shows your number as connected. You also get a confirmation message in WhatsApp.
On a computer
- Press Connect WhatsApp. The card shows a QR code.
- Scan it with your phone’s camera. WhatsApp opens on the phone with the same pre-written message.
- Tap Send. The page on your computer updates by itself.
Sending that message does two jobs. It is your opt-in to get alerts on WhatsApp, which WhatsApp’s rules require, and it proves the number is yours, because only your phone can send from it. The link works once and expires after 30 minutes. If it expires, press Get a new link.
Then press Test WhatsApp only, or use Send a test alert at the bottom of the page to test every channel at once.
How do you add your managers’ numbers?
WhatsApp alerts go to individual numbers, not to a group chat, so each person connects their own phone. A workspace can have up to 5.
- On the WhatsApp card, press Add another number.
- Press Copy link for a teammate and send it to them any way you like. The copied text explains itself: tap this on your phone and press Send.
- They tap the link, WhatsApp opens with the message written, they tap Send. Their number appears on your Alerts page.
Every connected number gets every alert. If all 5 are in use, remove one first. If a teammate taps the link on a phone that’s already connected, the page says so and nothing changes.

How do you turn WhatsApp alerts off?
- From the phone: reply STOP. That number stops getting alerts straight away. The Alerts page keeps the number in the list, marked “Replied STOP”, so nobody wonders where the alerts went. An owner or admin can press Reconnect to send that person a new link.
- From the Alerts page: press Remove next to a number, or turn the WhatsApp switch off to pause the whole channel while keeping the numbers connected.
Your email and Telegram alerts are separate and keep working. If WhatsApp can’t deliver to one number, for example because WhatsApp on that phone is out of date, the reason shows next to that number in plain words.
